This Backup Policy ensures data integrity, availability, and security for all user data managed within our software as a service (SaaS) environment. It describes our approach to data backups, recovery, and retention, ensuring minimal data loss in the event of a disaster or service disruption.

This policy applies to all production data stored within our SaaS systems. It outlines the procedures for nightly backups, data retention, and point-in-time recovery capabilities to restore data to a specific moment within the retention period.
Backup Procedures
Automated Nightly Backup
A full, automated backup of all production data is taken every night. This backup is stored securely and encrypted to protect data integrity and privacy.
Backup Retention
Nightly backups are retained for a period of 30 days. After 30 days, backups are automatically deleted in compliance with our retention policy unless otherwise specified for legal or compliance reasons. Backup are stored in a secondary UK location.
Point-in-Time Recovery (PITR)
Purpose and Capability
To minimize data loss in the event of an unforeseen issue, our system offers point-in-time recovery (PITR) within the last 30-day window. This capability allows for data restoration to a specific minute between nightly backups, providing flexibility in data recovery.
Recovery Requests
In the event of a disaster or data corruption, users may request a recovery point to restore data to a specific minute within the last 30 days. All requests will be processed according to priority and availability.
Testing and Validation
Regular Testing
Our backup and recovery procedures are tested quarterly to ensure reliability and alignment with our recovery time objectives (RTO) and recovery point objectives (RPO).
Integrity Checks
Backup integrity is regularly validated to ensure data completeness and accuracy in each backup cycle.
Data Security
All backups are encrypted in transit, using industry-standard encryption protocols to safeguard data confidentiality and security.
